Reporting is not just sharing info, but making sure what you send, helps someone make a decision or take action. We’re not ticking boxes, we are staying prepared, keeping everyone safe, delivering value for money, working together and protecting our and the client’s reputation.

What does the G in the WIIG Format stand for?

We use the WIIG Format every time and think of it as our reporting compass:
W – What Is It? What’s going on? Be clear. Name it. Where is it?
I – Impact on Us? Why does it matter? What’s the risk or effect?
I – Is There a Gap? What is the expected standard? What’s missing or broken?
G – Go-To Actions. What’s the default action / SOP, Any alternatives, What’s your Plan of Action.

We use the following guide to help us determine when to report:
- Incidents or Risks → Report immediately
- Routine operational checks → Report as it happens
- Planning tasks → Report when the info becomes available
- After action is taken → Report on completion
- Uncertainty or unclear situations → Report to start a conversation
- If something might affect plans, safety, or service — report it.
- If you’re not sure, report it anyway and ask for clarity.

Which option below is NOT part of the reporting guidelines we take into consideration before reporting?

We don’t use photos as a default. A blurry photo of a leaking tap or a random meter reading with no explanation is not a report. Photos are useful only if they support a clear report. We can store evidence in the shared folders if needed — not WhatsApp.

What should you do if nothing happens after you report?
- Just relax, it’s not your job to beg people, as long as you followed WIIG
- Follow-up / check in again after a while or at the end of the day.
- Tag someone where needed, If still nothing, escalate.

Remember, reports don’t fix things. People do. Tag someone if needed, Don’t assume it’s been seen — check in. If you’ve reported and nothing happens in a reasonable time or by the end of day, follow-up and ESCALATE.
